About the Role

The Contact List Manager will be responsible for managing, updating, and improving the quality of the company’s contact lists and databases. You’ll ensure that every phone number, email address, and customer record is accurate, categorized, and properly formatted for use in sales, marketing, and outreach campaigns.

This position requires excellent attention to detail, data management skills, and experience working with CRM or database tools. You’ll collaborate closely with marketing, sales, and data teams to ensure that our lead and customer information remains reliable, targeted, and up to date.


Key Responsibilities

📇 Database Management & Organization

  • Manage and maintain accurate and up-to-date contact lists across all company platforms.

  • Regularly audit contact databases to remove duplicates, fix inconsistencies, and correct errors.

  • Create and manage contact segments based on demographic, geographic, or behavioral data.

  • Standardize and maintain proper data formatting and naming conventions across all records.

📞 Lead & Contact Data Quality

  • Verify phone numbers, email addresses, and company details using validation tools and manual research.

  • Conduct periodic reviews to ensure compliance with data privacy and anti-spam regulations.

  • Collaborate with the lead generation team to add new, verified contacts into the system.

  • Monitor bounce rates, inactive records, and data decay — and take corrective actions promptly.

🧠 Collaboration & Process Improvement

  • Partner with marketing teams to provide segmented lists for targeted campaigns.

  • Support the sales department by ensuring lists are accurate and tailored to their outreach needs.

  • Develop efficient workflows for importing, exporting, and syncing contacts across systems.

  • Document list management procedures and propose improvements for automation and efficiency.

📈 Reporting & Insights

  • Generate reports on database growth, list performance, and data accuracy metrics.

  • Track contact acquisition trends and identify opportunities to improve data collection methods.

  • Assist in data analysis projects that inform marketing strategy and campaign targeting.

  • Provide ongoing updates on list health, segmentation performance, and contact engagement levels.


Required Skills & Qualifications

To thrive in this role, candidates should have:

  • Proven experience in contact list management, CRM maintenance, or data administration.

  • Strong attention to detail and commitment to data accuracy.

  • Familiarity with CRM systems (HubSpot, Salesforce, Zoho, or similar).

  • Experience with data cleaning, segmentation, and deduplication tools.

  • Understanding of marketing campaigns, audience segmentation, and lead generation workflows.

  • Excellent organizational and analytical skills.

  • Proficiency in Excel, Google Sheets, or other data management software.

  • Strong communication and collaboration abilities.

  • Bachelor’s degree in Marketing, Business, Information Management, or related field preferred.
